1. Information We Collect
When you use Docly, we may collect the following:
- Account information: Email address and name provided when you sign up via Clerk.
- Usage data: Number of code reviews used, timestamps of submissions, and plan type.
- Treatment note content: The text you submit for CDT code analysis. We strongly advise against including any patient-identifying information.
- Technical data: IP address, browser type, and device information collected automatically.
2. How We Use Your Information
- To provide and improve the Docly service.
- To track your usage against your plan limits.
- To send account-related emails (plan updates, billing receipts).
- To analyze aggregate usage patterns and improve AI accuracy.
- To comply with legal obligations.
3. Third-Party Services
Docly uses the following third-party services that may process your data:
- Clerk — handles authentication and account management.
- Anthropic — processes treatment note text to generate CDT code suggestions via the Claude API. Note text is sent to Anthropic's servers for processing.
- Neon — hosts our database, including usage records.
- Netlify — hosts the application.
- Stripe — processes payments for paid plans.
- Google Analytics — collects anonymized usage and traffic data to help us improve the Service.
- Sentry — collects error and performance data to help us identify and fix issues.
Each provider has their own privacy policy governing their use of data.
4. Treatment Note Data
Treatment notes you submit are sent to Anthropic's API for processing and are stored in our database tied to your account. We do not sell or share this data with third parties beyond what is described above. You should never include patient names, dates of birth, social security numbers, or other Protected Health Information (PHI) in any note submitted to Docly.
5. Data Retention
We retain your account data for as long as your account is active. Usage records and submitted notes are retained for up to 12 months. You may request deletion of your data at any time by contacting us.
6. Cookies
Docly uses cookies for authentication (managed by Clerk) and analytics. By using the Service, you consent to the use of these cookies.
7. Your Rights
You have the right to access, correct, or delete your personal data. To exercise these rights, contact us at support@doclyhealth.com. If you are in the EU, you may also have rights under GDPR.
8. Children's Privacy
Docly is not intended for use by anyone under the age of 18. We do not knowingly collect data from minors.
9. Changes to This Policy
We may update this policy periodically. We will notify you of significant changes via email or an in-app notice. Continued use of the Service constitutes acceptance.
